Bookings
How do I book Mr Softy for an event?
Booking a Mr Softy for an event is very easy. All you need to do is fill out our Booking Request form.
Filling out our Booking Request form is not a booking. It is merely a request to:
- Check if we are available for your event on the required date and time
- Responding to your Booking Request may take up to 24 hours to respond
- If we are available we will send you a no-obligation quote
- If you accept the quote simply click the Confirm button
- An invoice will be generated and emailed to you
- To lock in your booking the invoice or deposit must be paid. Payment Terms will show on the Invoice
- Events happening within 30 days of Invoicing require full payment
- Events more than 30 days away require a 20% deposit to secure the booking with the balance due 30 days before the event date. If your event falls under this, you will be sent a payment reminded 30 days before your event.

If your event has more than 100 guests we have several package pricing options available.
Any applicable discounts will be applied to your quote.

I only have a small number of people at my event, can I still book you?
Yes, absolutely!
We cater for events of all sizes.
For smaller events you may be quoted a minimum spend depending on travel distance.
Do you attend events to sell your ice creams?
We do not attend private events to sell our products. All private events are pre-paid.
We can attend to events such as school fetes and family days, churches days, sports clubs, charity fund raisers and large public events to sell our products. If a donation is required from a selling event you must indicate that on the Booking Request form. Our drivers may have to adjust the selling prices to accommodate your donation. Donations are normally 10% of the gross sales.
Cancellations and Ammendments
Can I cancel my booking?
At Mr Softy we understand that not all events may eventuate successfully due to unforeseen circumstances.
Should you wish to cancel your booking for any reason whatsoever you may do so 30 days before the event date and receive a full refund of any payments made.
You may also reschedule your event to another date (assuming we have availability) with no additional cost*.
*Please note: If you reschedule and cancel again the original event date will be used as a basis for calculating cancellation fees
Cancellations made 30 days or less and more than 7 days before the event date shall be subject to a 20% cancellation fee.Any perishable food that has been preordered (Hot Jam Donuts, Hot Dogs, Pop Corn and Fairy Floss) is payable in full over and above the Cancellation fee percentage.
Refund example:
Total order as Invoiced $500
Perishable goods ordered $100
Refund calculation = ($500 – 20% cancellation fee ($80)) – Perishable goods ($100)Net Refund = $500-$80-$100 = $320
*If you have only paid a 20% deposit fee ($100) you will need to pay an additional $80
Cancellations made 7 days or less before the event date shall be subject to a 50% cancellation fee .
Any perishable food that has been preordered (Hot Jam Donuts, Hot Dogs, Pop Corn and Fairy Floss) is payable in full over and above the Cancellation fee percentage.
Refund example:
Total order as Invoiced $500
perishable goods ordered $100
Refund calculation = ($500 – 50% cancellation fee ($250)) – Perishable goods ($100)
Net Refund = $500-$250-$100 = $250
*If you have only paid a 20% deposit fee ($100) you will need to pay an additional $150

Can I reschedule my event?
You certainly can!
Should you wish to reschedule your event please use the link below to edit your event with the new date and time that you wish to reschedule to. If there is a clash with another event we will notify you
Rescheduling is subject to our van being available on the alternate date and time

Allergens & Dietary Concerns
Do you cater for guests with nut Allergies?
We understand that food allergies are an important concern for many guests. While our ice cream and desserts generally do not contain nuts, some products we serve may be manufactured in facilities that also process nuts. For this reason, we cannot guarantee that any item is completely nut-free.
If you or your guests have severe allergies, please let us know when making your booking request and we will be happy to provide ingredient information where available. Guests with serious allergies should always exercise caution when consuming any food products at events.
When filling out our Booking Request form you will be asked about nut allergies.
Your answer will help our driver to:
- Ensure not nuts are served at your event
- If you would like nuts to be served please let us know accordingly so that our driver can prepare seperate condiment containers for nut free guests.
Do you cater for guests with gluten intolerance?
Some of our products may contain gluten or be manufactured in facilities that handle gluten ingredients. While certain items may not contain gluten, we cannot guarantee that any product is completely gluten-free due to possible cross-contamination.
All ice cream is gluten free
Guest with gluten concerns should ask for their ice cream to be served in containers not cones.

Do you offer dairy-free or vegan options?
Some events request dairy-free or vegan alternatives. Please mention this in your booking request and we will advise what options may be available depending on your location and event size.
Mr Softy vans that serve Sorbet are great for this!
Sorbet is dairy free! However it does contain egg white.
Our Lemon flavour is 100% Vegan
Health, Compliance & Insurance
Are your drivers certified food handlers?
Yes!
Our drivers follow food safety procedures and are trained in safe food handling practices in accordance with local food safety regulations.
All drivers hold fully accredited Food Handling Certificates
Are your vans licensed to serve food?
Yes. Our ice cream vans operate under the appropriate food handling regulations required for mobile food vendors.
Our vans are FoodTrader registered.
FoodTrader under the local Council Health Authorities inspect our vans annually and issue Food Registration Certificates accordingly
Our vans must always be kept clean as Councils may make unannounced health inspections. If vans are not found to be compliant they are deregistered by Councils.
Do you carry public liability insurance?
Yes. Mr Softy vans carry public liability insurance, which is a must to for schools, councils, festivals and corporate events.
As we cater for Government facilities we carry a $2o million public liability insurance policy not the standard $10 million
How do you maintain food hygiene during events?
Our vans follow strict hygiene procedures including safe food storage, temperature control and clean serving practices to ensure food safety during your event.
